Service Interruption Updates

The launch of the Enterprise Resource Planning (ERP) platform in May set the stage for future exciting updates, but has created some immediate technical issues that are being worked through. It has been a difficult time for Toastmasters clubs, leaders, and members; the World Headquarters team understands and shares the frustration that comes with not being able to process transactions and view needed information. We apologize for any delays and lack of timely service as we work to resolve issues that resulted from the platform transition.

This page is used to provide important information regarding planned maintenance, as well as a list of known and resolved technical issues. For detailed information regarding priorities, please scroll to the bottom of the page.

Planned Maintenance

Due to planned maintenance, member login will be unavailable on Sundays from 5 a.m. to 8 a.m. Mountain Standard Time (UTC -7).

New Login Process

The ERP platform transition has changed the way members log in to the website:

  • Users with multiple email addresses must use the email address on file
  • Users sharing the same email address must use a unique email address on file
  • Username is not valid

If you are having trouble logging in, click “Need Some Help?” on the bottom right of the login page, then click “What do I do if I can't log in?” for help.

Login timing out

General:

Please allow up to 24 hours for the system to apply a membership payment to the member's record.

Payment processing for club charter fees

Sending charter kits

Shipping DTM plaques

Processing Gavel Club charters

Processing Gavel Club education awards

Online Application to Organize unavailable

Members with an apostrophe in their name cannot be added

Club officers are unable to pay for past memberships

Members began testing the store on October 20, 2022. Testing has not yet revealed signficant issues, so we anticipate that the store will be open to all members by the first week of November 2022.

District Central:

Prospective clubs not appearing

Club Central:

Credit cards incorrectly showing as denied

Not all memberships are being processed when multiple memberships are included in a single payment

Club officer submissions not showing entered information

Club officer list submissions are not working correctly when the same member is serving as both Club President and Vice President Education

Clubs are unable to update their name in Club Central

Officers unable to pay previous membership period in Club Central

For semiannual clubs, the Club Performance Report on the Distinguished Performance Reports page may show incorrect data for Goal 10b

District Central:

Previously submitted Area and Division Success Plans not appearing

Area Director's Club Visit Report not showing previously submitted forms

District Success Plan not showing entered information

Club Central:

The progress tracker when submitting the Addendum of Standard Club Options is not calculating correctly (i.e., the page does not show 100% complete even though all data has been entered)

Member credentials missing from Club Roster

Club Addendum link triggers an Area visit

Club Roster not showing all paid members

Payment receipt reflecting club officer's name instead of payer's name

When exporting the club roster, the "Member Since" data is not correct

Club Addendum error when currency is updated

When a member is working on the same path both online and in print, their club officer cannot submit the same Level for both paths

Find a Club:

Advanced and prospective clubs not displaying correctly

Emails:

Multiple email confirmations being sent for one transaction

Club Sponsor Certificate being emailed to club email instead of sponsor email

Path Purchases:

New member paths not appearing in Base Camp

Some new path purchases for existing members not appearing in Base Camp

Prioritization

We have prioritized the remaining ERP system work as follows:

  • Stabilize and refine already launched ERP elements:
    • Processing new and charter memberships and membership renewals
    • Education awards
    • New clubs
    • Club and District dashboards
    • Club Central and District Central
  • Ensure the reliability and accuracy of month and year-end closing processes and information
